Service 09 / Tracking & Systems
Leads go cold fast.
Someone requests an estimate at 2pm while you're on a roof. You see it at 7pm. By then they've called two other people and one of them picked up.

The friction
Where leads actually die
Nobody answers fast enough
In most home service trades the person who responds first wins a disproportionate share. You are on a job. That is a structural problem, not a discipline one.
Missed calls are just gone
A missed call with no callback and no text is a lost lead with no record it ever existed.
Leads live in four places
Some in email, some in text messages, some on a notepad in the truck, some in a voicemail nobody cleared.
Nobody follows up twice
Most quotes that go quiet convert on a second or third contact that never happens.
You can't tell what converted
Without leads recorded in one system, cost per job cannot be calculated at all.
The scope
What we build
Defined before work starts. Documented when we hand it over.
- 01Site to CRM connection; every form submission lands in one place, immediately
- 02Instant acknowledgement, so nobody assumes you did not get it
- 03Missed-call text-back; a missed call triggers a text within seconds
- 04Follow-up sequences, scheduled and stoppable the moment a human replies
- 05One pipeline: new, contacted, quoted, won, lost
- 06GoHighLevel call-agent connection when voice qualification or booking is in scope
- 07Connection back to tracking, so a booked job can be traced to the marketing that produced it
How we think about it
Automation that doesn't sound automated
The failure mode here is obvious to anyone who has received it: a stream of generic messages that make a business feel like a call centre.
We keep it to what genuinely helps; acknowledge quickly, set an expectation, follow up a small number of times, and stop immediately when a person replies. Anything more annoys the exact people you are trying to book.
On GoHighLevel: we work with it regularly and it fits most local service businesses well. We will also work with what you already have. If your current system is fine, we will connect to it rather than sell you a migration.

Questions
Do I need a CRM if I am a two-person business?
Possibly not a full one. But somewhere every lead lands, and something that responds when you cannot, is worth having at any size. It can start very simple.
Will customers know it is automated?
The acknowledgement, probably; and that is fine, because it is honest and it sets an expectation. What matters is that it stops as soon as a real conversation starts.
Can you connect to the CRM I already use?
Usually. Most have an API or webhook support. We will check before proposing anything.
Is this GoHighLevel?
Often, because it suits local service businesses. It is not the only option and we do not require it.
What if I do not want automated texts?
Then we do not build them. Form-to-CRM and instant acknowledgement alone still fix most of the problem.
